Microsoft Access Training Video You can start most software built for the Windows environment in the same way: by clicking the Start button and pointing to Programs in the Start menu. Depending on how you installed Access 2003, the name might appear as a separate item in the Programs (or All Programs, if you’re using Windows XP) list or as one of the programs in the Microsoft Office menu. If you don’t see Microsoft Access in the Programs list, choose Microsoft Office, and then click Microsoft Access 2003. When first opened, the Access main window displays a Getting Started task pane, offering you a choice of accessing Microsoft Office Online, opening one of the existing database files, or creating a new file. The Open panel contains the names of recently opened databases (your list will be different). The Access opening window is where your session with Access begins. The Getting Started task pane appears automatically when Access first starts or when you choose File | New. Several other task panes are available to help with other activities. For now, click the Close button (the × in the upper-right corner) to close the task pane and leave the Access window empty for a tour of the window.

Creating and Viewing Tables - There are a number of ways to create a table in Access. Access provides wizards that guide the user through creating a table by suggesting names for tables and columns. The other main way to create a table is by using the Design View to manually define the columns (fields) and their data types.  While using the wizards is a fast way to create tables, the user has less control over the column names (fields) and data types. In this video, the steps will be described to create a table using the Design View. Students are encouraged to experiment on their own with using the Create Table wizard.

How Do Queries Work? - Several types of queries do quite different things but, in general, an Access query is a set of explicit specifications that tell Access exactly what information you want to see and how you want it arranged or manipulated in the results. In the query, you specify the fields you want to include, add selection criteria that limit the records in the resulting record set, select the desired order for them to appear, and define any summary fields.

With Access queries you can do the following:
• View data from multiple tables sorted in a specific order.
• Perform many types of calculations on selected groups of records.
• Find and display duplicate or unmatched records.
• Update data, delete records, or append new records to a table.
• Create a new table with records from one or more tables.

Creating and Running Queries
In this section, the training video will show how to use the Access Wizards to create queries for a single table and for multiple tables.
As usual, Access gives you a choice of ways to begin a new query design:
• Click the New command button on the Queries page in the Database window.
• Click the New Object toolbar button and select New Query.
• Choose Insert | Query.

If you want to create a select query, you can either start from scratch by selecting Design View in the New Query dialog box or choose one of the wizards to help you. Choosing Design View takes you directly to the Query Design window, which looks a lot like the Advanced Filter/Sort Design window. To create a select query with the wizard, choose Simple Query Wizard, which guides you through choices about the basic design of the select query. You can then go to the Design window to customize the query design, if necessary. Like most Access objects, a query can be displayed in more than one view. Tables, for example, can be viewed as a datasheet in which you’re looking at the data in the table.
